Join Meeting

Send one of your AI Twins into Google Meet, Zoom, or Microsoft Teams from the AITWIN dashboard — no SDK required.

Overview

Join Meeting lets you send one of your AI Twins into a Google Meet, Zoom, or Microsoft Teams call. Meeting participants see the twin on camera and can talk to it live — powered by Recall.ai.

Everything happens on AITWIN. Open Join meeting, pick a twin, and send it into the call. No SDK or custom integration required.

What you need

  • An AITWIN account with at least one twin in My Twins. Prefer a public twin so it can appear in the meeting.
  • A Recall.ai account and API key from your Recall dashboard. In that same dashboard, add the AITWIN webhook (see Recall webhooks below) so meeting notes save when the twin leaves.
  • A Google Meet, Zoom, or Microsoft Teams link for the call you want the twin to join. For Zoom, connect Zoom in your Recall.ai workspace first.

How to join a meeting

  1. Go to Join meeting and sign in.
  2. Paste the Google Meet, Zoom, or Microsoft Teams meeting link.
  3. Paste your Recall API key.
  4. Select the Recall region that matches where your API key was created (US East, US West, EU, or Asia Tokyo).
  5. Select the AI Twin you want to send into the call.
  6. Click Join meeting. AITWIN creates the meeting bot and shows its status.
  7. Join the meeting yourself and admit the bot if it is in the Google Meet or Zoom waiting room, or the Microsoft Teams lobby. Participants can then see and talk to your twin.
  8. When you are done, click Leave bot to remove the twin from the call. Notes are saved when the bot actually leaves (call ended, everyone left, or the 1-hour cap) — not when you click the button.

Recall webhooks

Meeting notes are saved when the Recall bot leaves the call — not when you click Leave bot. For that, add AITWIN as a webhook endpoint in your Recall dashboard (same region as your API key).

  1. Open the Recall.ai dashboard → Webhooks → Add endpoint.
  2. Endpoint URL:https://ai.aitwin.me/webhooks/recall
  3. Subscribe to these events:
    • bot.call_ended — the bot left (kicked, call ended, everyone left, 1-hour cap, or Leave bot)
    • bot.done — the bot has shut down (backup so notes still save)

After this is set, AITWIN summarizes the call, stores it, and clears the live transcript when any of these happen:

  • The host kicks the twin out of the meeting
  • The host ends the meeting for everyone (red end-call button)
  • The last person leaves or closes the tab — the twin leaves a few seconds later
  • The twin has been in the call for 1 hour (maximum stay)

If you leave but other people stay, the twin stays in the meeting until they leave or the 1-hour cap.

Tips

  • If the twin does not appear, check that you admitted the bot from the Google Meet or Zoom waiting room, or the Microsoft Teams lobby.
  • Use a public twin. Private twins may not load for the meeting bot.
  • Your Recall API key stays in this browser session only — it is not saved to your AITWIN account.
  • The region must match your Recall dashboard. Keys from us-east-1 will not work against ap-northeast-1, and vice versa.
  • The twin stays at most 1 hour. Meeting notes save when the bot leaves — see Recall webhooks for the URL and events to subscribe to.
